Sourcing PreparationHow to Define Product Specifications Before Requesting a China Quote
Prepare a clear brief, approve a sample and compare supplier quotes using the same requirements.
Describe the product clearly
A reference photograph shows appearance but does not define materials or quality. Describe the intended use, destination market and approximate quantity. Include reference images and explain which design details you want to change.
Define the main specifications
List materials, dimensions, weight, colors, functions and accessories. For electrical products, specify voltage, plug type and destination-market requirements. Ask suppliers to explain alternatives and their effect on quality and cost.

Include packaging
Specify individual packaging, units per carton and transport protection. Explain logo, label and instruction requirements, including language and artwork. Request carton dimensions and weight for shipping and storage estimates.
Approve a representative sample
Check the sample's materials, dimensions, performance and packaging. Record revisions in writing and retain the approved sample as an inspection reference. Agree on quality checks and unacceptable defects before production.
Compare equivalent quotations
Send the same requirements to suppliers. Request minimum order quantity, production time, sample and packaging costs, price inclusions and delivery terms. Share your budget alongside essential specifications, then compare total costs.
